Spring 2027 Conference in Seoul: What to Book First
The order to book a March–May 2027 conference in Seoul: a date clear of 1 March, early May and 13 May, then venue and rooms before Seollal, then interpretation, speakers and production.
Spring 2027 Conference in Seoul: What to Book First
For a conference in Seoul between March and May 2027, book in this order: fix a date window clear of the spring holidays, contract the venue and hotel rooms before the Seollal break in February, then book interpretation and AV, confirm speakers, and only then move into production. Spring is one of Seoul's two peak event seasons, so the first two steps are the ones that can't wait.
If you're planning a regional conference, partner summit or customer event in Seoul for next spring and it's now November, you have time — as long as the date and venue are settled first.
Step 1: Fix a date window around the spring holidays
Your date decides everything else, and spring 2027 has three holiday points to plan around. The dates below follow the 2027 calendar the Korea AeroSpace Administration published in June 2026 and the Korea Astronomy and Space Science Institute's 2027 calendar data.
| Date | Holiday | What it means for a conference |
|---|---|---|
| Mon 1 March | Independence Movement Day | Long weekend 27 Feb – 1 Mar |
| Sat 1 May + Mon 3 May | Labor Day + substitute holiday | Start of the early-May cluster |
| Wed 5 May | Children's Day | Leaves 4 May as an isolated working day |
| Thu 13 May | Buddha's Birthday | Friday 14 May becomes a bridge day |
What this leaves open. Mid-March through April is clear of public holidays. In May, the stronger window is the week of 17 May onwards, after Buddha's Birthday.
One winter date matters too. Seollal runs from Saturday 6 to Tuesday 9 February 2027, including a substitute holiday on the 9th. Korean vendors and venue sales teams largely stop that week, so any contract, deposit or approval you need before spring should be done before then.
Pick two or three candidate dates rather than one. Venues reply faster and more usefully when they can offer the closest match. Our full 2027 Korea event calendar covers the rest of the year.
Step 2: Contract the venue — before February
The venue is the step most likely to fail if you leave it late, because spring weeks are in demand and the room that fits your format may exist in only a few buildings.
Send venues a complete brief so their answer is useful:
- headcount and main-room format (theatre, classroom or banquet)
- number and size of breakout rooms
- exhibition or sponsor space, if any
- whether you need simultaneous interpretation booths in the room
- two or three candidate dates
A date isn't yours until the contract is signed and the deposit is paid; our venue booking guide explains holds, deposits and cancellation terms.
Venues that combine a main hall, breakouts and rooms. For a multi-track conference with overseas delegates, these options from our database put the plenary, breakouts and accommodation close together:
- Lotte Hotel Seoul — in central Seoul by Myeongdong; the Crystal Ballroom takes up to 1,200, with built-in interpretation booths, and the Sapphire Ballroom (400) and Emerald Room (150) work as breakout halls.
- Conrad Seoul — in the IFC complex in Yeouido; the Grand Ballroom seats up to 1,200 theatre-style, with the Park Ballroom (400) and Studio rooms (150) for parallel tracks.
- COEX Convention & Exhibition Center — Gangnam's convention centre, connected to several hotels and the subway, with conference rooms such as Grand Conference Room 401 (400) alongside the large halls.
- Seoul Dragon City — a Yongsan complex of four hotel brands with about 1,700 rooms connected to its convention space; the Baekdu Ballroom holds up to 2,000.
For size-based shortlists, see venues for 300-person conferences and venues for 1,000+ attendees.
Hotel rooms belong in the same step. If delegates are flying in, ask for a room block at or near the venue when you negotiate the event space, and get the cut-off date and attrition terms in writing.
Step 3: Interpretation and AV
Once the agenda structure is known — how many rooms, how many languages, which sessions — book interpretation and technical production.
- Interpreters. Strong Korean–English conference interpreters with subject knowledge are a limited pool, and spring is busy for them too. Book once you know the number of rooms and days. Our guide to interpretation costs in Korea covers budgeting.
- Booth space. Interpretation booths need floor space with a clear view of the stage and screens. Make sure they're in the room plan the venue signs off.
- AV and streaming. Decide early whether sessions are recorded or streamed; it changes the camera, staffing and internet requirements.
Step 4: Speakers, travel and entry
Confirm external speakers as soon as the date is fixed. Peak-season flights and hotel rooms are easier to secure early, and a confirmed keynote helps registration later.
For international speakers and delegates, check entry requirements early. Depending on nationality, a traveller may need a visa or an electronic travel authorisation; the official K-ETA site and the Korea Visa Portal set out the current rules. Leave enough time for an application to be processed before flights are booked.
Step 5: Production, print and registration
Production comes last because it depends on everything above: the room plan, the agenda, the speakers and the sponsors.
- Work backward from the date. Set design sign-off, print and delivery deadlines, then check none of them falls on 3 or 5 May or in the Seollal week.
- Registration. Open it once the date, venue and headline speakers are confirmed. A venue name and confirmed speakers make the invitation concrete.
- On-site staff. Registration desks, ushers and bilingual staff are usually booked in the final weeks, but confirm availability early if your date falls in a busy week.
Frequently asked questions
When are the public holidays in spring 2027 in Korea? Monday 1 March (Independence Movement Day), Saturday 1 May (Labor Day) with a substitute holiday on Monday 3 May, Wednesday 5 May (Children's Day) and Thursday 13 May (Buddha's Birthday). Confirm against the official 2027 calendar before contracting.
Is it too late to book a Seoul venue for April 2027? Usually not, if you start now. Availability depends on size and format — very large halls and specific landmark venues go first — so contract before the Seollal break in early February.
Which weeks in May 2027 work best for a conference? The weeks from 17 May onwards are clear of holidays. Early May is broken up by Labor Day, its substitute and Children's Day, and 13–14 May is affected by Buddha's Birthday and the bridge day after it.
Why should we sign before Seollal? Seollal (6–9 February 2027) pauses most Korean vendor and venue work for several days. Signing and paying the deposit before it keeps your spring date secure and gives you the remaining weeks for production.
